Job Posting:  Office Administration Support (Part-Time)

Location:  Allen, Texas

Job Type:  Part-Time (20 – 25 hours weekly);  Must be available for shift block Monday-Friday 9 a.m. – 1 p.m. or 12 noon- 5 p.m.  

Payrate Range:  $15 -$18.50

Position Summary:

The Allen Arts Alliance needs an Office Administration Support person (Part-Time) at our administrative office located at 102 S. Allen Drive; Allen, Texas 75013.  The Office Administration Support Person will play a vital role in ensuring the smooth operation of our organization and office.  This position involves a variety of administrative tasks, scheduling, communication, office management, facility management, onboarding and coordination of volunteers.  The ideal candidate will be detail-oriented, proactive and comfortable working in a collaborative and imaginative environment.

Key Responsibilities:

Administrative Tasks:

  • Perform administrative duties as directed by management, including management of company accounts and records.

Scheduling:

  • Coordinates meetings, appointments and events with clients, volunteers, and staff to ensure effective communication and collaboration

Communication:

  • Handle correspondence and inquiries, providing general customer service to clients and stakeholders
  • Monthly organization and distribution of organizational newsletter
  • Maintenance of organizational website & social media to ensure relevant and updated information of area cultural arts program & events

Office Management:

  • Maintain filing systems, manage office supplies and support the basic IT infrastructure.

Facility Management:

  • Oversee facilities maintenance, manage vendor contacts, and handle monthly billing processes.

Onboarding:

  • Filter volunteer applications, manage onboarding documentation, and coordinate induction programs for new volunteers.

Other Responsibilities:

  • Ensure health and safety compliance is up to date, attend meetings as requested by senior management and provide direct administrative support as required.

Qualifications:

  • Previous experience in office administration or related field preferred.
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with basic IT systems.
  • Proficiency in QuickBooks and basic accounting principles.
  • Ability to maintain confidentiality and handle sensitive information.
  • Strong attention to detail and problem-solving skills
  • Excellent communication and interpersonal skills
  • Ability to work collaboratively with a diverse range of stakeholders.
  • Passion for the arts and a commitment to fostering creativity in the community

Work Schedule:

This is a part-time position initially requiring approximately 20-25 hours per week.  Must be available for shift block Monday-Friday 9 a.m. – 1 p.m. or 12 noon- 5 p.m.

Position Summary:

The Arts Educational Director (Part-Time) will lead the development and implementation of arts education programs and initiatives for the Allen Arts Alliance.  This role is designed for a passionate individual who is committed to fostering creativity and enhancing the arts experience for community members, particularly youth and underserved populations.  The Arts Educational Director will work closely with Executive Director, educators, artists and community stakeholders to create engaging and impactful arts programs that align with the organization’s mission.

Key Responsibilities:   

Program Development:

  • Design and implement innovative arts education programs, workshops and events for various age groups and skill levels.
  • Collaborate with local schools, community organizations, and artists to expand arts education offerings and reach a wider audience.

Curriculum Design:

  • Develop and adapt curriculum and instructional materials that promote creative expression across diverse art forms, including visual arts, music, theater and dance.

Community Engagement:

  • Build and maintain relationships with community partners, educators and artists to foster collaboration and support for arts education initiatives.
  • Conduct outreach to underserved populations to ensure equitable access to arts education programming.

Evaluation and Reporting:

  • Assess the effectiveness of arts education programs through feedback, surveys and evaluations.

Budget Management:

  • Assist in developing and managing budgets for arts education programs, ensuring alignment with organizational goals and funding requirements.
  • Assist in identifying grant or other funding source opportunities to assist in funding and growing programs.

Advocacy:

  • Advocate for the importance of arts education within the community and promote the organization’s mission and programs to stakeholders.
  • Attendance and willing participation in various community events as an Allen Arts Alliance advocate and support team member.

Qualifications:

  • Bachelor’s degree in arts education, arts administration, or related field
  • Proven experience in arts education, program development, and community engagement
  • Strong knowledge of various art forms and teaching methodologies
  • Excellent communication and interpersonal skills
  • Ability to work collaboratively with a diverse range of stakeholders.
  • Strong organizational skills and the ability to manage multiple projects simultaneously.
  • Passion for the arts and a commitment to fostering creativity in the community

Work Schedule:

This is a part-time position initially requiring approximately 20-25 hours per week.  Flexibility in scheduling is available, with some evening and weekend hours expected in support of events and programming.
